Reftab allows you to create custom emails. This guide shows how to use custom emails to send alerts to users about upcoming items due for return.
This process involves creating a custom email and building a workflow. The workflow will send an email to users who have items with a return date in 7 days. The workflow will then send your custom email.
Note: This process is only available to users on the Pro and Business plans. Standard users are unable to build workflows in Reftab.
Create a Custom Email
- Click โSettingsโ > โEmail Settings / Logsโ > โNew Custom Emailโ.
- Type your email text.
- Note that for this guide, we are using 7 days as a time frame of when to send this email. However you can use other timeframes in workflows. Simply update your text accordingly.
- Click, โSave Emailโ

Create a Workflow That Sends the Custom Email Weekly to the Loanee
This guide uses the example of a weekly workflow which means, your email will send once a week.
- Click โSettingsโ > โAutomated Workflowsโ > โNew Workflowโ
- Trigger: Schedule
- Frequency: Weekly
- Date and Time: Monday 9:00am
Next, click โAdd Conditionโ
Loan due date anytime after now
-Click โAdd Rowโ again
loan due date anytime before next week
-Click โAdd Rowโ again
loan status is out
Next, click โAdd Actionโ
