Managing maintenance tasks efficiently often requires clear documentation and standardized forms. Within our platform, you can build a custom PDF to accompany your Maintenance Request Form, ensuring that all necessary information—like asset details, assigned personnel, and completion dates—is clearly laid out. The steps below guide you through creating this PDF template, from generating a base layout to adding images and customizing fields

Navigating to the PDF Designer
First you will want to go to the “Maintenance” tab at the top of Reftab. Within the Maintenance dashboard, click the “Maintenance Form Designer” button.
Next, open the PDF Designer. Locate and click the “PDF Designer” button near the top right. A pop‐up window will appear, allowing you to create or edit your PDF template.
If this is your first time utilizing this feature, you can choose to generate a Base Template. Within the PDF Designer pop‐up, select “Generate Base Template”. This automatically inserts a sample layout with commonly used placeholder fields (e.g., {{assignee}}, {{asset title}}, etc.).
Add Replacement Fields and Images
Click the “Fields” dropdown in the editor toolbar to see a list of available replacement fields (such as Asset Title, Asset ID, Start Date, etc.). Insert a field by selecting it; it will be placed where your cursor is in the editor.
To add an image (such as a company logo), click “Insert” > “Image” in the toolbar. You can then specify the image source and size.
Customizing Text and Formatting
Use the editor’s Format options (font size, bold, headings, etc.) to style your form as needed. Add any instructions, disclaimers, or notes about the maintenance process that you’d like to appear on the PDF.
Previewing and Saving
Click the “View Sample” button to see how your final PDF will look with placeholder data. When you’re satisfied, click “Save.”
